THE STORY

Clarifying the role before starting the search.

A local construction and property management firm was growing and needed to hire an executive-level Administrative Assistant. The company had already taken an important first step by drafting a job description for the position.

When Warren Whitney met with key team members, it became clear that the written job description did not fully reflect the person the company wanted to hire. The responsibilities, expectations, and attributes needed for the role were broader than the original description captured.

Warren Whitney worked with the team to rewrite the job description so it matched the actual needs of the business. From there, we advertised the position, screened candidates, and referred qualified candidates to the client for final interviews.

The position was filled with a highly qualified candidate. The revised job description also gave the company a more accurate foundation for future performance reviews and hiring decisions.

The Situation

The company needed more than applicants. They needed clarity on the role.

The firm was in a period of growth and needed an experienced Administrative Assistant who could support leadership at a higher level. While the company knew it needed help, the original job description did not fully capture the duties, judgment, and attributes required for the position.

Hiring an executive-level Administrative Assistant
• Clarifying the responsibilities and expectations of the role
• Rewriting the job description to match the company’s actual needs
• Advertising the role through relevant online outlets
• Screening candidates before final client interviews
• Creating a stronger foundation for future performance reviews
• Building hiring materials the company could reuse for future positions

Warren Whitney’s Role

A recruiting partner who helped define the need before filling the role.

Warren Whitney began by meeting with key members of the client’s team to understand what they truly needed from the position. During that conversation, we identified a gap between the original job description and the candidate profile the company had in mind.

Rather than moving forward with a description that could have attracted the wrong candidates, Warren Whitney rewrote the job description to reflect the actual responsibilities, skills, and attributes required.

Once the role was clearly defined, we advertised the position through relevant online outlets, conducted initial candidate screenings, and referred qualified candidates to the client for final interviews.
